Lee County Schools runs a large and complex PeopleSoft environment, but manual provisioning was slowing everything down. With Pathlock, they automated user access and turned a backlog-heavy process into a fast, reliable, and efficient system.
Manual Processes Couldn’t Keep Up
Before implementing Pathlock Cloud, the district’s PeopleSoft user access process relied heavily on manual effort. Access requests came through help tickets, emails, paper forms, and even word of mouth. With just two team members managing all access changes, backlogs were common, especially at the start of the school year.
According to Charles Lukes, PeopleSoft Security Administrator for Lee County Schools, the volume and inconsistency of requests made it challenging to keep up.
“We used to get 40 or 50 access requests a day—and during busy times, it could take a while to get to everyone.”
For a school district of this size, the inconsistency and lack of automation were not only inefficient but also hindered employee productivity and created challenges for staff needing timely access to critical systems.
Choosing a Smarter Way Forward
Lukes and his team began exploring automation options that could handle the complexity of their access needs. With at least 3,000 employees requiring elevated permissions, they needed a solution that could assign business roles and launch job-specific scripts in PeopleSoft, all without requiring manual intervention.
After connecting with a Pathlock representative, the team realized the platform could do exactly that.
“We found that Pathlock could automate roles and trigger PowerShell scripts, which gave us the flexibility we needed to tailor access based on our unique implementation.”
Turning Automation Into Daily Impact
With Pathlock Cloud, Lee County Schools can now automatically provision access based on job sub-functions and role requirements. A custom-built view detects new hires or job changes, and Pathlock applies the appropriate baseline access, launches role-specific scripts, and updates preferences accordingly. The system runs every three hours, ensuring access is granted quickly, often within the same day that HR enters the new hire information.
“If HR puts someone into the system in the morning, they’ve got access by the afternoon.”
The results have been transformative. Access request forms dropped from 40–50 per day to fewer than 10. Standard role assignments no longer require manual intervention, and help tickets tied to access issues have significantly decreased.
Making the Team More Efficient
By eliminating routine access requests and reducing support tickets, the IT team can now spend more time on audits, strategic initiatives, and other critical tasks. The shift hasn’t just improved provisioning; it has also freed up capacity across the team.
“Overall, it’s just made us more efficient. Pathlock turned a time-consuming process into something seamless.”
For Lee County Schools, the move to automation has been a game-changer, enabling Lukes and his team to keep up with the demands of a large, dynamic school district while maintaining confidence in access governance.
